Opt In

Opt in message requests are sent to customers to ask their permission before sending marketing or billing SMS messages to their personal cell phones. Users can manage these messages, and who they are sent to, via the SMS Opt In Setup page, SMS Opt In Messages page, and various SMS options found throughout Matrix. The following documentation instructs users on how to manage these messages and how to send them to contacts.

SMS Opt In Setup

The SMS Opt In Setup page is where users can manage the default opt in message text sent to customers. The messages defined here are what contacts will view when they receive the opt in request, agree to opt in, and opt out.

Users can define default messages by writing the information they wish contacts to receive into the available fields. These fields are defined below.

FieldDefinition
Opt In MessageDetermines the initial message contacts will receive on their device. The opt in link will accompany this message. This field is limited to a maximum of 120 characters and cannot be saved if users exceed the character limit via message codes.
Opt Out MessageDetermines the message contacts will receive when they have been successfully unsubscribed from SMS notifications. This field is limited to 120 characters and cannot be saved if users exceed the character limit via message codes. Contacts will only receive this message if they unsubscribe from the opt in message sent through Residential Portal. More information on using Residential Portal can be found below.
Detail MessageDetermines the message that will display in the body of the opt in request page. This is the page the opt in link will direct contacts to when selected.
Message CodesDisplays codes users can use to automatically insert the contact’s account information into the messages. These codes will autofill with the applicable information per contact.
Max Messages to Send per DayDetermines the maximum number of messages the system will be allowed to send within a 24-hour period. In the event that more than the defined max number of messages have been queued, the system will wait until the next day to complete sending the remaining messages.

After messages have been configured as necessary, select Save to preserve the setup settings. If messages exceed the alloted character count, users will be prompted to edit the messages to meet the allowed length.

Skin Maintenance

The layout and color scheme of the SMS message received by contacts can be created using the Dealer Skin Maintenance page within Matrix. See the Dealer Skin Maintenance documentation for more information on managing dealer layouts.

Send SMS Opt In Messages

The Send SMS Opt In Messages page allows users to send SMS subscription requests to multiple contacts within the system.

Users can send messages to contacts based on Dealer, Account, or AR Number via the Select Contacts By dropdown. These options are defined below.

AccountSelecting this option allows users to create an account range to use for SMS opt in requests. The system will send the opt in message to all appropriate contacts on each account within the range.
For Example: If the user input KATE01 into the From field and KATE03 into the To field, the system will send the opt in message to all applicable contacts on accounts KATE01, KATE02, and KATE03.
DealerSelecting this option allows users to create a dealer range to use for SMS opt in requests. The system will send the opt in message to all appropriate contacts on each dealer account and all subscriber accounts assigned to the dealers within the range.
For Example: If the user input DLRDOC01 into the From field and DLRDOC03 into the To field, the system will send the opt in message to all applicable contacts on accounts DLRDOC01, DLRDOC02, and DLRDOC05 and their respective assigned subscriber accounts.
Dealer + AccountSelecting this option allows users to refine the account range to a single dealer’s set of accounts.
AR NumberSelecting this option allows users to create an AR Number range to use for SMS opt in requests. The system will send the opt in message to all appropriate contacts on each AR profile within the range.
For Example: If the user input ARDOC01 into the From field and ARDOC03 into the To field, the system will send the opt in message to all applicable contacts on the accounts assigned to AR Numbers ARDOC01, ARDOC02, and ARDOC03.

Perform the following steps to send SMS opt in requests to multiple contacts.

  1. Select the applicable contact filter option from the Select Contacts By dropdown.
  2. Input the account, dealer, or AR number the system should first send messages to into the From field.
  3. Input the account, dealer, or AR number the system should finish sending messages to into the To field.
  4. If applicable, update the default message text within the SMS Message field.
    • This is the message contacts will receive along with the link to the opt in page.
  5. If applicable, update the default message text within the Detail Message field.
    • This is the message contacts will see on the opt in page after selecting the SMS link.
  6. Select Submit to complete sending the SMS message to all appropriate contacts.

Show Queues

Selecting the Show Queues option will display the Ranges For Collecting Contacts and Contacts Waiting For Opt In Message To Send tables.

The Ranges For Collecting Contacts table displays all previous dealer, account, and AR number ranges users have sent opt in messages to.

The Contacts Waiting For Opt In Messages To Send table displays all contacts currently waiting within the message sending queue for the opt in message to send to them.

Sending Messages Within Matrix

Users will have access to the Send SMS Opt In Message option throughout Matrix. This option is located on most Contact tables.

Selecting the Send SMS Opt In Message option will automatically send the opt in message as it is configured within the SMS Opt In Setup page to the selected contact.

Residential Portal

Contacts that log in to Residential Portal will have access to the SMS Opt In option under their available Quicklinks.

Users can select the available Send Message option to receive an opt in request to their phone number. The system will send this message to the cell phone number on file for the contact.
